Installation Guide – Team Timesheet for Outlook

Install Steps

Guide to install quickly, up and running for use in just a minute or two

Home > Outlook Add-ins > Timesheet > Installation Guide – Team Edition

It typically takes not more than 2 minutes to perform a managerial install, and just less than a minute to make a simple client install to each member’s system.

Timesheet add-in (team edition) consists of two separate installs – Admin and Client. The Admin install is for project managers and administrators who would setup and configure projects and activities, and maintain drop down lists, templates, reporting settings etc. in a Project database accessible to all members of the team. Whereas the Client install is meant for normal users who would be preparing timesheets in Outlook before reporting and submitting to the project database.

(Note that, if the administrator needs to publish timesheets from Outlook to Database, the client tool also needs to be installed, apart from the managerial portion).

There are two different setup types:

For ‘Per user Installation’

  • TeamTimeSheetSetups_x86.zip (for 32-bit Outlook)
  • TeamTimeSheetSetups_x64.zip (for 64-bit Outlook)

For ‘Per Machine Installation’

  • TeamTimeSheetSetups_x86_Citrix.zip (for 32-bit Outlook)
  • TeamTimeSheetSetups_x64_Citrix.zip (for 64-bit Outlook)

The downloaded zip file contains 3 files – TeamTimeSheetManagerSetup_xXX.exe, TeamTimeSheetClientSetup_xXX.exe and VersionInfo.txt where ‘xXX’ can be either x86 (32-bit Outlook) or x64 (64-bit Outlook)

Extract these file contents to a file folder. It is recommended that you place the setup files on a shared network folder, such that all users can have access to it, and ease the installation and upgrade process.

Per User Installation and Per Machine Installation

In Per User Installation, both the Admin and Client installs are performed 100% on the local system and nothing is installed on your Exchange or Windows Server. Further, this install is intended to serve only the current logged on user of the system/workstation and will be installed under the user’s application data folder (instead of Programs Files folder) and no elevated permission is required (This is known as per user installation). So, there won’t be a prompt from UAC to allow this install unless you change the install directory to say, Programs Files which will warrant an elevated permission/UAC prompt. If the same system is used by multiple technicians, each user needs to install Team Helpdesk add-in on their profile with the default installation folder location.

Per Machine Installation: If you have the need to have a single install that serves all users of the system (i.e., per machine installation, which technically means the files will be installed under Program files folder and the add-in will be registered under HKEY_LOCAL_MACHINE registry hive rather than HKEY_CURRENT_USER), download the Citrix/Terminal Server version of the setups to perform a per machine installation.

Part I: Admin add-in     Part II: Client Add-in

Part-I: Admin Installation and Configuration

This has to be performed by the administrator/manager before the Client tool is installed on every user’s system. There are 2 sections in administrative installation:

a) Files Installation, and b) Project Database Configuration

The Admin setup is of two different types – one each for 32-bit Outlook and 64-bit Outlook

For Per User Installation:
TeamTimeSheetManagerSetup_x86.exe (for 32-bit Outlook)
TeamTimeSheetManagerSetup_x64.exe (for 64-bit Outlook)

 For Per Machine Installation:
TeamTimeSheetManagerSetup_x86_Citrix.exe (for 32-bit Outlook)
TeamTimeSheetManagerSetup_x64_Citrix.exe (for 64-bit Outlook)

Step 1. Run the TeamTimeSheetManagerSetup_xXX.exe to start the installation. Click ‘Next’ to Continue. If Outlook 2007 or later is not installed, the setup wizard will not be able to proceed. Please also ensure Outlook is shutdown (if already running or active in the task manager) as the setup has to install an Outlook add-in.

Step 2. Select the appropriate destination folder where the application files will be installed. If you change the default folder path, please make sure you have appropriate permission. (Note: by default, it will be installed under your application data folder).

Step 3. Click ‘Next’ to continue with the file’s extraction. It just takes a few minutes to complete the whole copying process.

Step 4. Click ‘Finish’. This ends the files installation process in your system. Now start Microsoft Outlook.

b) Project Database Configuration

The next step is to choose a database option and configure it to store the project metadata such as project/activity lists, notification options, email templates, members list, reporting settings etc. as well as other global settings that streamline the behavior on how all members work, track and publish their timesheets in Outlook.

If you have just installed the TimeSheet Managerial tool, you will get to see this ‘Project Data Source’ Settings dialog when you start Outlook.

Alternatively, you can invoke this dialog box from ‘Team TimeSheet Manager’ > Project Data Source menu, in case of Outlook 2007. If you are on Outlook 2010 or above, you can get to this from Outlook > the backstage File > Team TimeSheet Manager > Project Data Source button.

You can choose a project database between a Microsoft Access (MDB file) to a Microsoft SQL Server, or Azure SQL Database (cloud db).

i) Using Microsoft Access – If you choose ‘Microsoft Access’, the database file (e.g., TeamTimeSheet.MDB) will need to be placed on a shared network folder such that all members (that have the Client add-in in their Outlook) have access to the network folder. When you specify the location where the MDB file is to be created, make sure you choose a UNC path (e.g., \\AMTServer\TimeSheets) instead of a mapped one because, a mapped drive might only be accessible to you. One important consideration with having a network Access database is the write permission on the folder and the MDB file itself. Make sure, the shared folder or the MDB file is not configured ‘read-only’ for all members on the network, otherwise, they won’t be able to publish their timesheets to the database from their respective Outlook.

ii) Using Microsoft SQL Server – It is recommended to use a dedicated SQL Server database option, if you have a high number of users (> 25) publishing their timesheets from their Outlook to the database, as it gives a better performance and is easily scalable.

For SQL server, the server’s name is mandatory. The Database name is optional. If it is left empty, a new database with the name ‘TeamTimeSheetDB’ would be created. If your SQL server is configured to use windows authentication (NTLM), then you can check the ‘Use Integrity Security’ option to let Windows manager the credentials to access the resources on the SQL server.

Permission for users on the SQL database – Each member should have both db_datareader and db_datawriter permission on the Team TimeSheet SQL database.

iii) Using Microsoft Azure SQL – Azure SQL Database is a cloud-based relational database service from Microsoft, which is based on SQL Server database. This option is ideal for team that have users scattered or working remotely in different locations but have access to the web.

NOTE: If no database name is mentioned, the manager add-in will create a new database in your Azure SQL server, by the name of ‘TeamTimeSheetDB’.

Once you click ‘Save’, the manager tool will automatically create the chosen database (if it does not exist already). And then any project metadata and other settings/drop down lists you defined from Team TimeSheet Manager add-in in Outlook would be saved in this repository.

Next, install the Team TimeSheet Client add-in to the systems of your other staffs. You can install the Team TimeSheet Manager add-in on other systems as well if the particular user has the need to perform administrative tasks.

Make sure that you have provided the chosen database location information to all users who have or will install the Client tool (such as the network shared folder where the MDB file is located for Access database e.g., \\AMTServer\TeamTimeSheets or the Server name in the case of SQL server database e.g., BYTESTATION\SQLEXPRESS). This is required because when user starts Outlook after installing Team TimeSheet Client add-in, it will prompt to specify the project database location. And only then the add-in would automatically connect to the admin specified database to retrieve the project logic and timesheet settings data to the local system.

NOTE: There are other administrative configurations that you would need to undertake. These options are available in the ‘Team TimeSheet Manager’ menu in Outlook. For more references and helps on performing these administrative configurations, refer to the PDF Help Manual, which can be invoke from the Team TimeSheet Manager > Help Topics.

You can also download the full PDF help manual directly from this link.

Part-II: Client Installation and Configuration

This install is meant for normal users who would be preparing timesheets in Outlook before reporting and submitting to the project database. Before you install the Client tool, make sure your administrator has already configured the Project Data Source settings on a network Microsoft Access or SQL Server database with the Team TimeSheet Manager tool. And collect the Project database information from your admin as you will need to feed to the Team TimeSheet Client Add-in once it is installed (for the purpose of linking up the Client tool with the project database).

The Team TimeSheet Client setup is of two different types – one each for 32-bit Outlook and 64-bit Outlook:

For ‘Per User Installation’ (ideal for standalone single user/workstation)
TeamTimeSheetClientSetup_x86.exe (for 32-bit Outlook)
TeamTimeSheetClientSetup_x64.exe (for 64-bit Outlook)

For ‘Per Machine Installation’ (ideal for installing on Citrix and Terminal Servers)
TeamTimeSheetClientSetup_x86_Citrix.exe (for 32-bit Outlook)
TeamTimeSheetClientSetup_x64_Citrix.exe (for 64-bit Outlook)

The Client installation has to be performed by each member of the team before they can start reporting timesheets and other project deliverables from Outlook to the database.

There are two sections in Client installation:
a) Files Installation, b) Database Connection

(Note: if the administrator/manager needs to prepare timesheets and report to the database from Outlook, the Client tool also needs to be installed, apart from the admin portion. It is perfectly normal to have both Admin and Client add-ins installed on the same machine. However, for normal users, just the Client add-in is enough).

a) Files Installation

Step 1. Run TeamTimeSheetClientSetup_xXX.exe to start the installation. Click ‘Next’ to Continue. If Outlook 2007 or later is not installed, the setup wizard will not be able to proceed.

Step 2. Select the appropriate destination folder where the application files will be installed. If you change the default folder path, please make sure you have appropriate permission. (Note: by default, it will be installed under your application data folder).

Step 3. It may take a few minutes to complete the whole copying and registration process.

Step 4. Click ‘Finish’ to end the installation wizard. Now start Microsoft Outlook.

b) Database Connection.

Once you have just installed the Team TimeSheet client tool, you will get to see this ‘My Project Data Source’ panel when you start Outlook.

Alternatively, you can invoke this dialog box from ‘Team TimeSheet Client’ > My Project Data Source menu, in Outlook 2007. If you are on Outlook 2010 and above, you can get to this from Outlook > backstage File > Team TimeSheet Client > My Project Data Source

So, what is the Project Data Source?
The project data source is nothing but a database that your administrator had created and configured under your company’s network with the Team TimeSheet Manager tool (either could be a Microsoft Access MDB file with the name ‘TeamTimeSheet.mdb’ stored on a network folder or a Microsoft SQL Server database with the name ‘TeamTimeSheetDB’ located in your office network). The data source stores the projects and activities, email templates, notification and reporting settings. In short, these are global settings that streamline the behavior on how all members work, track and publish their timesheets in Outlook.

i) Access database – If your administrator had chosen a Microsoft Access database, it would be on a shared network path (eg. \\AMTServer\TimeSheets\). All you need to do is enter that URL path in the Access path box as shown below:

One important consideration with having a network Access database is the write permission on the folder and the MDB file itself. Make sure, the shared folder or the MDB file is not configured “read-only”, otherwise, you may not be able to report timesheets and other project deliverables successfully to the database.

ii) SQL Server database – Another database option is the SQL server. You need to enter the server’s name where the database for Team TimeSheet resides. The Database name is optional only if your administrator had left it blank when configuring it the first time. If it is left empty, it would assume the default database name is “TeamTimeSheetDB”.

If your SQL server is configured to use windows authentication (NTLM), then you can check the “Use Integrity Security” option to let Windows manage the credentials to access the resources on the SQL server, otherwise, you need to supply valid credential (username and password).

iii) Using Microsoft Azure SQL – Azure SQL Database is a cloud-based relational database service from Microsoft, which is based on SQL Server database. This option is ideal for team that have users scattered or working remotely in different locations but have access to the web.

NOTE: If the database name is left empty, it would assume the default database name is “TeamTimeSheetDB”.

Now, click the Save button, to confirm the connection. Team TimeSheet Client add-in is now ready to connect to the Project Data Source to synchronize projects and other settings metadata from SharePoint to your system

Additional step on the SQL database.
If your administrator had configured Team TimeSheet to store the settings and other configurations in a SQL server database, then please make sure that you have adequate permission to access and update the tables in that database i.e., db_datareader and db_datawriter permission on the Team TimeSheet SQL database.

NOTE: For more references and help with preparing timesheets in Outlook, refer to the PDF Help Manual, which can be invoked from Outlook > Team TimeSheet Client > Help Topics.

You can also download the full PDF help manual directly from this link.

Changes in build 8.0.4.100:

  • Fixed the issue whereby you were unable to publish appointments from Outlook to database.

Changes in build 8.0.4.95:

  • Auto Fill or Auto Complete feature – Added feature to type in the first few characters of your project or activity in the drop down boxes so that the drop down field pulls up all the matching items from which you can choose one to auto-complete. This feature might come very handy if you have hundred of projects/activities to choose from the drop down list (so finding one can be time consuming (relatively speaking.) My specialty app programmer has created a way to enter 4-5 characters in a field, press enter, and it pulls up the first 10 matching items.

To enable auto-fill/auto-complete feature, the administrator needs to enable the option ‘Allow members to type in into Project/Activity drop down boxes for auto complete‘ under Team TimeSheet Manager > Form Options.

Changes in build 8.0.4.93:

  • New comprehensive help manuals for timesheet Administrators (TeamTimeSheetManager.pdf) and Client Users (TeamTimeSheetClient.pdf) included in the setups.

To invoke or show the PDF manual on Admin add-in, go to Outlook > Team TimeSheet Manager tab > Help Topics.
To invoke or show the PDF manual on Client User add-in, go to Outlook > Calendar or Task folder > Team TimeSheet toolbar > My Settings menu > Help Topics.

or you can also download the PDF manuals from below
    Administrator Help Manual
    Client User Help Manual

  • Fixed the issue where timesheets from other users show up in the search/report in Team TimeSheet client add-in.

Changes in build 8.0.4.92:

  • New revamped ‘Search TimeSheets’ tool. A variety of search parameters are predefined to help you find your published timesheets easily and quickly. You can also limit the search to your published timesheets only by choosing ‘My TimeSheets’ scope.

Time Period: Choose a time period from the followings under which the search will be confined:
    Any
    Today
    Yesterday
    Tomorrow
    This week
    Last Week
    Next Week
    This Month
    Last Month
    Next Month
    This Year
    Last Year
    Date Range…
    On

Report Type: Choose a report type from the predefined ones below:
    Any
    TimeSheets Starting
    TimeSheets Ending
    TimeSheets Reported
    TimeSheets Ongoing
    TimeSheets Approved
    TimeSheets Declined
    TimeSheets Pending Approval
    TimeSheets Completed
    TimeSheets with Empty Project
    TimeSheets with Empty Activity

Search By: Further refine the search by filtering through keywords or using one of the following timesheet fields: Project/Activity, Reported By, Duration, Billable Hours, Importance, Custom Lists.

Group By: You can choose to group the timesheets either with:
Project, Activity, Reported By, Importance, Categories
    .

Each timesheet in the search result is color coded to reflect the current state of the timesheet such as if it approved, decline or approval pending. Now, you can easily recognize which timesheets require the attention or review, and plan actions accordingly.

With this version, you are free to choose which particular timesheet fields/columns show up in the search result and report. Just click the ‘Fields’ button, and choose the wanted columns to include.

You can re-arrange the columns by drag-and-drop to get the kind of view you want. And the display order of the columns will be retained in subsequent sessions.

You can export cases to files in the following document types:
Adobe PDF, XPS, Word 97-2003 DOC, Word 2007-2016, DOCX, RTF, ODT or HTML.

You can control what timesheet data are included in the exported files by customizing the ‘Print‘ template under Team TimeSheet Manager > Templates Manager.

  • New Summary Reports tool allows for Four modes of views or editing. List, HTML, HTML Editable and Grid. It uses the same sets of search filters discussed above.

For example, here is what the HTML report view look like:

And here is what the Grid (Excel) report view looks like:

For finer control over the output of report, you can choose which fields (including custom fields) are to be included in the report. You can sort the timesheets by clicking at the column headers, as well as also re-arrange the columns in the list view according to certain sequence of your choice, and even set the width of the columns. These formatting from the List view panel will be inherited on other tabs – HTML, editable HTML and Grids. In short, the List tab acts like a template to the other three tabs.

Once you get the look and feel of your report, you can then export the report to one of the many popular document formats supported such as Microsoft Excel sheets, Word documents, Adobe PDF, Rich Text or web page etc.

  • The Audit Manager tool has also been revamped for quicker administrative actions on the published timesheets. In fact, the interface and control sets remained the same with the new search/report tool (described above). The only additional features in Audit Manager tool being able to edit, delete, approve or decline timesheets published by your users. You can review the timesheets and make necessary changes and amendments before accepting the timesheets for further processing (say, for payroll).

    1. Detail Info – Click this to view finer detail information of the selected timesheet (as available in the project database) in a new window.

    2. Edit – Click this to edit the published timesheet. Depending on the permissions as set by the administrator under Team TimeSheet Manager > Audit Options panel, you can edit or make amendment to the published timesheets stored in the project database directly.

    3. Print – Click this to print the selected timesheets using the ‘Print’ template (as defined under Team TimeSheet Manager > Templates Manager). if you select a single timesheet to print, it will show you the print dialog option, where you can customize the layout, paper size etc. However, if you choose multiple timesheets, it will print directly using the default settings without displaying any Print options.

    4. Delete – Click this to permanently remove the selected timesheets from the project database.

    5. Approve – Click this to approve the published timesheets from users. Approved timesheets appear with a green back color for easy recognition. Based on the choice, the add-in may send an alert to the owner (user) of the timesheet informing about the approval.

    6. Decline – Click this to decline the published timesheets from users. Based on the choice, the add-in may send an alert to the owner (user) of the timesheet informing about the decline.

    7. Export to PDF – Click this to export the selected timesheets to PDF document files. You can also export to Word Documents, HTML, plain text etc.

  • ADDED: Added two buttons to place the timesheet form left or right side of the inspector window of the opened appointment or task item.
  • ADDED: Added the ‘Search My TimeSheets in DB’ menu option under Outlook > TimeSheet toolbar > My Settings drop down menu.
  • With version 8 release, the duration, billable hours etc. of the published timesheets in the database will always be stored in Minutes format. However, you can change it to show in Hours in Search, Reports and OLAP tool. You can set this preference from Team TimeSheet Manager > Advanced Options >  Show Duration/Billable Hours in database in.
  • REMOVED: Removed the explicit impersonation option in TimeSheet Client menu > Local Settings, whereby a user can choose who he/she is from the list of users (defined by the administrator) and accordingly the timesheet client add-in use it when publishing any timesheets to the central database.
  • FIXED: If a user has configured multiple Exchange accounts including shared ones, in Outlook, the timesheet add-in may have difficulty picking the primary/correct mailbox user.

Changes in build 7.0.4.86:

  • Requires .NET Framework 4.5 or above.
  • Supports using of Microsoft Azure SQL database for storing projects as well as timesheets from Outlook: Azure SQL Database is a cloud-based relational database service from Microsoft, which is based on SQL Server database. This option is ideal for team that have users scattered or working remotely in different locations but have access to the web.

  • Optimize for SQL server database.
  • Added a new button ‘Create Copy‘ in the timesheet form in Outlook. Clicking this will create a clone of the current selected or opened appointment/task item along with the project/activity data that might have been tagged previously.
  • FIXED: Even if default values are defined under Team TimeSheet Client > My Reporting Options panel, TimeSheet Client add-in does not assign default project/activity or custom fields to new appointment or task items in Outlook
  • FIXED: TimeSheet Client add-in throws an error about inadequate permission when you click an appointment from a Shared Calendar in your Outlook.
  • FIXED: When SQL server database is offline due to Network issues, TimeSheet Client add-in throws error during Outlook startup.
  • Team TimeSheet Client menu in Outlook backstage > File tab is removed in version 7. You can access the Client menu items in TimeSheet toolbar/ribbon in the Calendar or Task folder in Outlook.

Changes as of 2nd August 2016

  • Fixed the issue where newly added projects from the manager addin is not saved to the SQL database (when you had configured SQL database with Team TimeSheet).
  • Optimized for Outlook 2016

Changes as of 28th December 2015

  • Supports both 32 bit and 64 bit Outlook 2016 and 365.

28th August2014 (Version 6.1.2.70)

  • Added option to avoid using ‘Billable Hours’ workflow in Team TimeSheet altogether i.e., the add-in will always compute the total cost based on the pre-defined Outlook duration field of the appointment item. For this, we have added a new option under Team TimeSheet Manager > Advanced Options > Total Cost tab, where the admin can choose which field (‘Duration’ or ‘Billable Hours’) is to be used for computing ‘Total Cost’. Optional the admin can also hide the ‘Billable Hours’ field from the timesheet form in Outlook (so as to not confuse the user).
For more, refer to this KB article – http://assistmyteam.net/KB/index.php?option=com_content&view=article&id=369
  • Added the variables ‘Project Manager‘, ‘Activity Coordinator‘ and ‘Rate‘ in Summary Reports and OLAP tool. These 3 new fields are also added to the ‘tReportedAppointments‘ and ‘tReportedTasks‘ tables of the timesheet database.
  • Fixed the bug where you are unable to tag or save any project/activity or billable hours or custom fields data to the appointment items (when you have multiple calendars arranged to be viewed in single Outlook explorer window). Only when you view the calendar in Outlook explorer one at a time, it worked. This issue has been fixed in this update.

12th April 2014 (Version 6.0.2.61)

  • Added a side bar form in the Outlook calendar/task folder explorer and inspector window to show the project/activity, billable hours and all the custom fields defined by the manager.

With this form, you can have quick access to the Project/Activity and other custom fields and any changes/editing on the fields are instantly saved to the appointment/task item. You don’t even need to open the appointment item in its inspector window. However, if you use the inspector window to open the appointment/task item, the same form is available.

  • Redesigned Auditing feature (Team TimeSheet Manager > Audit Manager). Now, managers can use the ‘Audit Manager’ to approve or decline timesheets submitted by other members in bulk (by checking multiple timesheets and pressing ‘Approve’ or ‘Decline’ button located on the top left portion).

  • Multiple items tagging (batch tagging) – if you select 2 or more appointment/task items, you could make use of the ‘Group Tagging’ button (available in the Team TimeSheet ribbon toolbar) to tag the same project or activity or billable hours or custom field value to all the selected appointment/task items in one go.

And from the project fields, you can then set the common value for all the selected appointment/task items.

  • We know, in the previous versions, how difficult and cumbersome it was to change the logo used in the case form. So, we have simplified the steps and now, all you need to do is to specify your logo image file from a network folder or from web. For more, refer to Team TimeSheet Manager > Form Options > Substitute the logo with your own.

Bug Fixes (build 6.0.2.61):

  • When normal user (Team TimeSheet Client addin, but with admin access) tries to insert their own new project or activity (from Team TimeSheet Client > My Projects/Activities panel, the following error is shown:
  • When managers decline or approve timesheets from Audit Manager panel (and the corresponding auto-alerts to members are enabled), the addin does not send the alert emails to members.
  • When you add new custom list field under Team TimeSheet Manager > Custom fields panel, you get an error everytime.
  • When saving report to Excel or PDF in Summary Reports tool, you get an error (and the file created is not usable, corrupted.)

29th October 2013 (Version 5.0.1.42)

  • Added support for Outlook 2013.
  • Added support for both 32 bit and 64 bit Outlook.
  • New excel like grid with support for sorting and newer data types.
  • Added the option for the user to choose the user identity to use explicitly under “Outlook > Team TimeSheet Client menu > My Local Settings tab > I am”.
  • You can now define new activities without associating to a particular project explicitly under Team TimeSheet Manager > Activities List. Just leave the project empty for that particular activity if you want that activity to be available to all projects.
  • You can choose the placement of the Team TimeSheet ribbon toolbars under Team TimeSheet Client menu > My Local Settings > User Interface tab.
  • Added support for unlimited Custom fields with varied data types (Team TimeSheet Manager > Custom Fields)
  • Newly redesigned ‘All Fields’ form in the Team TimeSheet ribbon toolbar.
  • Ability to tag multiple appointments/tasks items. Simply select multiple items from the calendar/task folder, and click ‘All Fields’. And then set the value for the particular field (including custom fields) and that will affect all the selected items.
  • Ability to publish multiple items to database by selecting multiple items and clicking ‘Publish’
  • New drop down button ‘Group Publish’. Allows for showing all non-reported (non-published) appointments/items of the current calendar/task folder based on specified timer period. Supports a filter search option. And then publish items in batch.
  • New button ‘Review Published’. Allows for showing all published appointments/tasks of the current calendar/task folder. User can withdraw, unlink, delete or update published appointment/task items in batch. Supports a search filter.
  • New ‘Summary Reports’. All custom fields should now show up in the available fields. Option to group reports by project/member.
  • OLAP tool – custom fields show up. And custom fields with numeric or currency data types should show up in the Measures portion too.

Enhancements:

  • Setup.exe now checks for the bitness of installed Office/Outlook. For instance, if 32 bit Outlook is installed, and if you run 64 bit setup.exe, it would complain and setup will exit.
  • Better handling of Recurrence Appointments.

Detail information on upgrading your old installation of Team TimeSheet for Outlook with new version and update.

Upgrade Steps to Team TimeSheet Version 8 (from version 5.X, 6.X, 7.X)

  • Download the latest setups from above to your system.

  • Extract the contents of the zip file to a file folder in your system. The downloaded zip file

  • Shutdown Outlook.

  • Run ‘TeamTimeSheetManagerSetup.exe’ (x64 or x86) to install version 8 of Team TimeSheet Manager tool. (no need to uninstall the earlier version 5.x, 6.x, 7.x)

  • Run ‘TeamTimeSheetClientSetup.exe’ (x64 or x86) to install version 8 of Team TimeSheet Client tool. (no need to uninstall the earlier version 5.x, 6.x, 7.x)

Upgrade Steps to Team TimeSheet Version 8.0 (from version 2, 3, 4)

Step 1 – Uninstall previous Team TimeSheet Manager/Client tool from all systems

Step 2 – Install Team TimeSheet Manager setup on pilot/admin system

Step 3 – Upgrade existing timesheet database

Step 4 – Install the new Team TimeSheet Client tool on member’s systems.

STEP 1: Uninstall previous Team TimeSheet Manager/Client tool from all systems

  • This is very important step and must be done on all users systems that have the previous Team TimeSheet Manager/Client installed. Because the new Team TimeSheet version is developed using .NET framework, the files are no longer compatible to earlier versions.

  • To uninstall, first shutdown Outlook. And go to Control Panel > Programs and Features ( for Windows Vista, Windows 7 and 8, 10), or Control Panel >Add/Remove Programs (for Windows XP) and uninstall ‘Team TimeSheet Manager’ and ‘Team TimeSheet Client’ of previous versions.

STEP 2:Install new Team TimeSheet Manager setup on pilot/admin system

  • Download the latest setups to the pilot/admin system. There are two different setups for 32-bit Outlook and 64-bit Outlook

    TeamTimeSheetSetups_x86.zip (for 32-bit Outlook 2007, 2010, 2013, 2016, 2019)
    TeamTimeSheetSetups_x64.zip (for 64-bit Outlook 2010, 2013, 2016, 2019)

Make sure each system has .NET framework 4.5 or above installed.

You should download the correct setup type according to your Outlook bit-ness. And then extract the contents of the zip file to a file folder in your system. The downloaded zip file contains the setup.exe for Team TimeSheet Manager and Client tool.

  • Shutdown Outlook.

  • Run ‘TeamTimeSheetManagerSetup_xXX.msi’ (where ‘xXX’ can be either x86 or x64) to install the new Team TimeSheet Manager on the admin system.

STEP 3: Upgrade existing TimeSheet/Project database

  • Your existing timesheet database of previous timesheet version needs to be upgraded to conform with the schema used in the new version database. Fortunately, the process of database upgrade is automated in the new Team TimeSheet. You just need to make sure, you have adequate permissions to create new tables and alter existing ones in your database.

    1. For SQL Server database, db_creator or higher rights on the timesheet database ‘TeamTimeSheetDB’.

    2. For MS Access database, you should have full write permission on the TeamTimeSheet.MDB file

kindly take note of the above rights and permissions before proceeding.

  • Start Outlook.

  • The new Team TimeSheet Manager add-in will probe your existing database and would automatically offer to perform the necessary upgrades. It won’t proceed further without performing the upgrades.

  • Click ‘OK’ to dialog prompt. If the database upgrade had succeeded, the add-in would continue to load the existing projects/activities and other metadata settings from the database.

STEP 4: Install Team TimeSheet Client tool on individual user’s system.

In the new version, the Client setup exists in two different types – one each for 32-bit Outlook and 64-bit Outlook:

TeamTimeSheetClientSetup_x86.exe (for 32-bit Outlook 2007, 2010, 2013, 2016, 2019)
TeamTimeSheetClientSetup_x64.exe (for 64-bit Outlook 2010, 2013, 2016. 2019)

  • Shutdown Outlook.

  • Uninstall any previous version of Team TimeSheet Client add-in. To uninstall, first shutdown Outlook. And go to Control Panel > Programs and Features ( for Windows Vista, Windows 7 and 8, 10), or Control Panel >Add/Remove Programs (for Windows XP) and uninstall ‘Team TimeSheet Client’ of previous versions.

  • Run TeamTimeSheetClientSetup_xXX.esxe to start the installation of the new version Client tool. The installation involves a few clicks and should be over in matter of seconds.

  • Start Outlook.

  • Congratulations! Now, you can start using the new Team TimeSheet version.

NOTE: Very Important!

You should download the correct setup corresponding to the bit-ness of your Outlook. For instance, if you have 32-bit Outlook, download TeamTimeSheetSetups_x86.zip. If you have 64-bit Outlook 2010 or 2013 or 2016, then download TeamTimeSheetSetups_x64.zip)

For 32-bit Outlook 2010/2013/2016/2019, use TeamTimeSheetSetups_x86.zip
For 64-bit Outlook 2010/2013/2016/2019, use TeamTimeSheetSetups_x64.zip

Your Windows OS bit is not taken account. So, ignore if you have 32-bit or 64-bit Windows. Concentrate on the bit-ness of Microsoft Office and download and install the matching setups.
