How It Works?

Select your PST files containing emails, and browse through the folders hierarchy contained within the PST using the tree view control located at the left side of the app. Notice that the label of each mail folder in the tree view control have a count of emails present within parenthesis.

Once you choose and click a particular mail folder within the PST in the tree view, the emails of that folder will be loaded in the list view control located on the upper right section. You can see the subject, attachments, from, to, received time and Size of each email entry in this list view.

You will notice that emails that contain attachments are differentiated by the presence of the attachment in the icon of the email item. The ‘Attachments‘ column in the list view also shows the number of attachments each email has.

Clicking one of this email entry will load the contents for viewing in the lower right viewer control, along with any attachments.

Apply keywords search and filters

You can choose to perform a keyword search and apply filters and only view those emails in the PST that fulfill the search parameters. To do that, click the ‘Filter‘ button available on top of the PST tree-view control box.

A dialog box for the search pop ups enabling you to input keywords search in the subject or body or both. You can also filter the emails by matching the sender in the From field and/or the recipient in the To field. Additionally, you can specify a time duration to restrict the emails that fall between the start and end date.

Search PST before bulk conversion to PDF

After applying the filters, the filter icon will change with a green tick mark and the background color of the PST tree-view control box will also be in green. You will also notice that each folder entry in the tree-view control shows the number of emails that fulfilled the search filter out of the total emails, enclosed within brackets.

Accessing and Extracting attachments from emails in PST

Just above the preview of the email body content, the attachments (if any) present in the email are shown. To view and open an attachment, double-click it or right click and select ‘Open‘. This will prompt you with a warning and confirmation, it will open the attachment in the associated app/software available in your system.

To save an attachment, right click the attachment and select ‘Save As‘. This will popup the save as dialog box where you can choose the destination folder in your computer to save the attachment. To save all the attachments, choose ‘Save All Attachments…‘ and specify the folder location from the browse folder dialog box.

To remove an attachment permanently from an email within the PST, select ‘Remove Attachment‘ from the context menu.

Exporting emails of PST to popular file formats

The AssistMyTeam PST Viewer supports export of your emails within the PST to the following popular file formats:

  • Portable Document format (.pdf)
  • Microsoft Word Document format (.docx)
  • MBOX Berkeley format (.mbox)
  • Outlook Message format (.msg)
  • Electronic Mail format (.eml)
  • MIME HTML archive format (.mhtml)
  • HTML Document format (.html)
  • Rich Text format (.rtf)
  • Plain Text format (.txt)

There are three ways to perform export of emails in PST to one of the above file format:

  • Emails of the whole PST to files (bulk export)
  • Emails of a chosen PST folder to files (bulk export)
  • An email of a PST to file (single export)

The first two export options support bulk operation where all the folders and contents of those folders will be exported to the chosen file format. To have more control over the bulk export, there are check boxes on all folders and emails which by default are all checked for export. If you choose to omit certain folders or emails from the bulk export, you can uncheck those boxes before hitting the export button.

NOTE: If MBOX file format is chosen, the emails of the PST folder will be stored as a single collection in the MBOX file. If you export the whole PST to MBOX, each folder will be exported to its own single MBOX file. Only mail items are supported for export to MBOX. Appointments, tasks, or contacts items are excluded.
