The PDF Essentials software is installed on individual computer as a plug-in extension to Microsoft Windows Explorer. It can also be installed on Terminal and Citrix server once and usable by all users.

View PDF documents

A basic and simple PDF viewing utility is available with AssistMyTeam PDF Essentials plug-in in the context menu of your Windows Explorer. That is, right-click any PDF file and from the context menu, click ‘View Pdf‘.

This PDF Viewer utility shows the thumbnails of your PDF document on the left section along with the Attachments and Bookmarks sections in a tab control. Clicking a thumbnail page will load that particular page in full view on the right section.

You can zoom in, zoom out or print from the upper toolbar. On the bottom section, there are navigation controls to view the first, previous, next or the last page of the PDF. You can also see all the bookmarks of the PDF document in the ‘Bookmarks‘ tab. Clicking a bookmark entry will load and show you the particular page associated with it.

To view any attachment files that are embedded in the PDF document, click the ‘Attachments‘ tab. You can access and view an attachment by double-clicking it. You can also save an attachment or all attachments to your computer from the context menu you get from right clicking an attachment.

If you have opened a locked or encrypted PDF document, you can save a copy of the PDF document to your computer in its unlocked and decrypted state using the ‘Save a Copy‘ button on the toolbar.

Organizing PDF Pages

Ever felt if your PDF document was missing that one crucial page that can make all the differences? Or perhaps you needed to add more information from multiple project files to your PDF file? How do you get additional pages into an existing PDF?

Whether you are enhancing a presentation, extending a report, or crafting a comprehensive document, the AssistMyTeam PDF Essentials plug-in makes it very easy to organize and add pages from more than 120+ file formats seamlessly into your PDF without the cumbersome workarounds of converting those files to PDF as the initial step. Simply, click the ‘Insert, Rotate, Organize pages in Pdf‘ option from the context menu of your Windows Explorer, while right clicking a PDF file.

And enjoy the convenience and flexibility of this feature to enhance your document management experience.

Insert, delete or rotate pages with ease

With the AssistMyTeam PDF Essentials plug-in, you can add, delete or even rotate PDF pages to portrait or landscape mode. To add and insert pages from another document or file, select ‘From Files‘ under ‘Insert Page‘ drop down option of the toolbar.

This will open a file’s selection open dialog box where you can choose the files from your computer. Browse your folders and select the file (s) not necessarily a pdf document, containing the pages you want to insert. You can select a single file or multiple files wherever you like. If you select a non-PDF file, don’t worry, the app will automatically convert it to a PDF in the background for insertion into your original PDF document. This process is seamless to the user and no explicit manual conversion is required.

Note that, if you specify a single file, you have the choice to see the page thumbnails as well as choose specific pages to insert.

Lastly, select the desired insertion point in the PDF document. For instance, you can choose to insert the pages of the selected file in the beginning (first page) of the PDF, or in the end (last page), or at a custom page number (by choosing from a drop-down) or in the currently highlighted page thumbnail.

If you have chosen multiple files for insertion, the files will be shown in a list (instead of page thumbnails) where you can reorder them, if required before insertion.

Once the files are inserted into the PDF document, you can rearrange the inserted pages by dragging and dropping them to the desired position within the document. To delete unwanted pages, whether a single page or a page range, select the pages and click the ‘Delete Pages‘ button from the toolbar.

You can also rotate a selected page using the rotate clockwise button from the toolbar. Once you are satisfied with the changes, click on the ‘Save Pdf‘ button to save the modified PDF document. Inserting and deleting of a PDF has never been that easy!

Rearrange or sort your PDF pages

The AssistMyTeam PDF Essentials plug-in makes PDF reordering and rearranging a simple affair. You can move a single page or multiple pages in whatever page order you want. Just select and highlight the page thumbnails and then drag and drop the selected pages into your new desired cursor location.

After the highlighted page(s) is/are moved to its new location, the pages of the PDF document will automatically re-arrange the order and sequence of the pages.

Freely rearrange PDF pages in the order you want so that your documents are better organized. This versatility allows you to customize your PDFs to suit your specific needs.

Split a large PDF file into multiple, smaller ones

Splitting a large PDF into smaller files makes it easier to send, upload, and manage the document, as smaller file sizes generally transfer faster and are less cumbersome to work with, especially when dealing with email attachments or online platforms with file size limitations. In short, it allows you to send only the relevant sections of a large document instead of the whole thing at once.

To split a large PDF file into multiple smaller files, select ‘Split into multiple Pdf files‘ option available in the context menu of the particular PDF document in your Windows Explorer.
This will launch the PDF splitter app. When you split a PDF with this tool, you get a preview of the pages you want to split. This makes it easy to specify the splitting point in the pages from your original document before splitting and saving them to new PDF files.

You can choose to split the PDF document into ‘X’ number of smaller files, with ‘X’ equal number of pages or by bookmarks (if they exist). If the latter option is chosen, you can force to split the PDF by accounting only the first level bookmarks (and ignoring any child bookmarks).

Insert, extract or remove attachments from PDF

One of the widely used features of the PDF format is its capability to embed video, images, and various file attachments such as office documents (DOCX, XLSX, PPTX etc.). With AssistMyTeam PDF Essentials plug-in, you have quick access to these embedded files present in your PDFs right in your Windows Explorer. Just select ‘Insert, Extract, Remove Files from Pdf‘ from the context menu.

With the PDF plug-in for Windows Explorer, you can access the ‘Attachments’ feature to add new files as attachments, select and extract existing attachments from the PDF, or delete them entirely depending on your need; essentially, managing additional files embedded within the PDF document itself.

Extracting attachments from PDF

From the Attachments utility, select a particular attachment to highlight from the list and click ‘Extract‘ button to save that attachment as file in your disk. To export all the attachments from the PDF to your disk in one go, click ‘Extract All‘.

Removing attachments from PDF

From the Attachments utility, select a particular attachment to highlight from the list and click ‘Delete‘ button to remove that attachment from the PDF document permanently. As this is an action that cannot be undone, you will be prompted for final confirmation.

Inserting new files as attachments to the PDF

From the Attachments utility, under ‘Insert new files to PDF’ section in the lower bottom, click ‘Insert files…‘ button to choose files from your computer that you want to embed into the PDF document as attachments.

Additionally, you can add description to each file to be embedded so that it appeared in PDF reader software when the attachment is accessed. This is done by selecting and highlighting the particular file from the list and clicking ‘Edit…‘ button.

And then click ‘Save Pdf‘ button to commit and save the PDF document with the chosen files as embedded attachments.

Print PDF documents

AssistMyTeam PDF Essentials plug-in provides a printing feature in the context menu of your Windows Explorer. That is, right-click any PDF file and from the context menu, click ‘Print Pdf‘.

With this utility, you can print your PDF document with your favorite printer after selecting the paper size, orientation, color mode and range of pages.

You can view the thumbnail pages of your PDF document beforehand and decide the pages to print by simply selecting the particular pages or a range of pages (ctrl + click) with your mouse. And the selection of the pages will be reflecting the ‘Print Range’ section under ‘Pages’ box.

OCR images of text to PDF or Word Document

Use the OCR feature of the AssistMyTeam PDF Essentials plug-in to accurately recognize and convert scanned docs, images into machine encoded, searchable PDF, Word Documents or TXT. Just right-click the image or PDF file in your Windows Explorer and click ‘OCR’.

With the OCR utility, you can see the preview of the scanned image or PDF and specify the language to be used in the text recognition process. By default, the app supports OCR on images/documents of English, German, French, Hindi and Arabic languages origin. You can further add support for other languages by downloading the corresponding OCR language data from here.

The app supports saving the OCR output into PDF, Word or TXT documents. Below is a sample PDF document produced from the OCR conversion.

And below is a sample Word document (DOCX) produced from the OCR conversion.

And lastly, you can also product the OCR conversion to a text (TXT) file.

For accurate OCR results, make sure you improve the quality of the image or document.

Add Watermark to PDF

Adding watermark is a simple way to secure your PDF content. For one thing, a watermark easily lets viewers identify the status of your PDF content. For instance, as a visual warning to designate your document as confidential or for internal use only. Equally important, it protects your PDF content from being passed off as someone else’s contribution when shared with others. Moreover, adding a watermark of your company logo or brand on publication material not only adds a professional touch, but also helps to identify ownership without completely locking the PDF down.

To add a watermark to new PDF file, right-click the source file in Windows Explorer, and click ‘Convert to PDF (Advanced)..‘ menu.

Steps to add watermark to PDF output

To add a watermark image or text annotation to your PDF files, click the ‘Watermark‘ button. You’ll get the following dialog box where you can choose the type, position of your watermark.

Choose watermark option to emboss a text or image to PDF files

You have two options on how to create a watermark:

Image as watermark

Click on the ‘Image as watermark‘ radio option. To insert an existing image as a watermark, click on the Image button and browse the open dialog box. And select your image from your computer.

Password protect PDF and restrict permissions

A PDF file on its own is not as secure as you may think. Surprisingly, with PDF Converter, you can lock down your PDF content by setting password encryption and limited file permissions. To point out, this is available when you press the ‘Convert to PDF (Advanced)‘ from the context menu in Windows Explorer. And click the ‘Security‘ button in the advanced mode panel.

Security options that are available for enforcing on PDF files

The security panel option shows up and has two sections – Document Open and Permissions.

PDF Document Open

PDF Security Settings dialog box

To begin with, check the option ‘Require a password to open the document‘ to set a password that will be required by your intended recipients for opening and viewing your PDF content. And type the password in the box. In fact, this is the simplest way to filter out your intended recipients from malicious users.

PDF Permissions

Additionally, check the option ‘Restrict Editing and printing of PDF‘ under Permissions section, to add another level of security to your PDF content should your file be accidentally accessed. While people may be able to view it, ensure that viewing is all they can do with it. For instance, you can restrict activities from printing content to copying text. Moreover, a master password can also be set that will be required to perform unrestricted activities on the PDF material.

Checking the PDF’s Properties > Security dialog in any PDF viewer, users can see what permissions are given to the file, if any.

Extract embedded images from PDF

While the PDF format is an excellent choice for storing and sharing documents, when it comes to extracting its content, such as images, it is not a straightforward task. You would have to work around this usability issue. The AssistMyTeam PDF Essentials plug-in overcome this by allowing you to save all embedded images from the PDF as separate image files like JPEG, PNG, GIF, BMP and even multipage TIFF.

The first step is to select ‘Extract Images from Pdf‘ from the context menu of your Windows Explorer.

The App loads the page thumbnails of your PDF document, and each page thumbnail is accompanied by the page number caption along with the number of images found in each page within parenthesis. This makes it very easy to recognize which page has embedded images and how many of them in a quick glance. You can now swiftly export all images stored in the PDF into one of the popular image formats in just a few seconds. You can customize the image format from JPG, PNG, GIF, BMP and multipage TIFF and resolution from 96 dpi to 330 dpi to export. Afterward, you can use the image individually, insert it into other file types, or edit it.

If you opt for a multipage TIFF image format, all the images from the PDF document will be merged into one TIFF file.

Optionally, you can also export images embedded in a particular PDF page only, by right clicking the page thumbnail and choosing ‘Extract Images to‘. This way you can export images that are of your interest from few PDF pages, without needing to export all of them from the PDF document, in bulk.

Rasterize and convert PDF pages to images

The AssistMyTeam PDF Essentials plug-in can convert entire PDF files or individual pages to an image file, giving you the functionality to select the type of image format, as well as the resolution, if necessary. The first step is to select ‘Convert Pdf Pages to Images‘ from the context menu of the PDF document in Windows Explorer.

You can choose to convert whole PDF document into images or confined the conversion to few pages, in which case you will have to specify the starting page and the ending page. Support image formats for conversion are JPG, GIF, PNG, BMP and multipage TIFF. You can optionally configure if the conversion is to be done in grayscale or in RGB. Lastly, you can set the image quality by specifying the resolution (DPI) between 96 to 330.

Alternatively, you can quickly convert a particular PDF page to image by right clicking the thumbnail and choosing ‘Save selected pages to Images‘ from the context menu. This way you can convert those pages to images that are of your interest, without needing to export all of them from the PDF document, in bulk.

Benefits

Converting a PDF to a raster format can ensure better compatibility and print quality, especially when dealing with complex vector graphics. Rasterizing a PDF can also reduce its file size. It is important to note that while rasterizing has advantages in specific situations, it also has drawbacks, such as loss of scalability and resolution.

Convert PDF pages to HTML or TEXT files

The AssistMyTeam PDF Essentials plug-in can convert contents of the entire PDF files or individual pages to HTML or TEXT files. The first step is to select ‘Convert Pdf Pages to Text or Html‘ from the context menu of the PDF document in Windows Explorer.

You can choose to convert whole PDF document into Text or Html or confined the conversion to few pages, in which case you will have to specify the starting page and the ending page. You can optionally configure if each page will be converted to its own Text/Html file, or all the pages will be merged to a single Text or Html file.

Alternatively, you can quickly convert a particular PDF page to Text or Html, by right clicking the thumbnail and choosing ‘Save selected pages to Text‘ from the context menu. This way you can convert those pages to Text or Html that are of your interest, without needing to export all of them from the PDF document, in bulk.

Convert PDF to Word document

Converting a PDF to a Word document makes sense when you want to edit the content of a PDF file, as PDFs are designed to be viewed and not easily modified. By converting to a Word document, you gain the ability to make changes, add text, format elements, and generally manipulate the document easy, more freely than you could with a standard PDF editor.

Luckily, with AssistMyTeam PDF Essentials plug-in, you can convert your PDFs into editable Word format in just a click. Simply click ‘Convert to Word <file.pdf.docx>‘ from the context menu of the PDF document in Windows Explorer.

AssistMyTeam PDF Essentials plug-in quickly converts PDF files to DOCX format, preserving the original layout and ensuring your document’s formatting remains intact. And with seamless automations to help guarantee consistency, you never have to worry about sacrificing quality again.

Add a digital signature to your PDF file

A digital signature is a security mechanism that ensures the integrity of the document (unchanged by anyone other than the author), its authenticity (only edited by an author known to viewers), and its non-repudiation (the author can’t deny their authorship).

Before you can digitally sign your PDF documents, you must first configure the AssistMyTeam PDF Essentials Plug-in settings, by feeding the path to your digital cetificate file (PKCS#12 or PFX). You do that from the ‘Digital Signature‘ section of the PDF Output Settings panel.

Note that by default the digital signature added to your PDF document is invisible – there is no visual representation of the signature on any of the pages. If you want to add a visible digital signature to your PDF, you will need to specify your logo (an image file).

Now you are ready to digitally sign your PDF files with the PDF Essentials plug-in. Simply right-click the PDF file in your Windows Explorer and click ‘Insert Digital Signature to Pdf‘.

This is just so easy. If you have specified a logo file for a visible digital signature in your PDF document, it will be added at bottom of the last page of your PDF.

Unlock and decrypt your PDF file

One of the important features of PDFs is their ability to be secured and protected. Passwords are one of the most common ways to protect a PDF especially for PDFs containing sensitive or confidential information. However, if you no longer need a password on a PDF, removing it is a great way to make it more accessible.

Unlocking a PDF file allows you to remove security restrictions and access, edit, or print the content without a password. Fortunately, removing a password from a PDF is probably easier than you think. The AssistMyTeam PDF Essentials plug-in makes it very easy to unlock and remove restrictions on your PDF files, in a click. Just right-click your PDF file in Windows Explorer and select ‘Decrypt and Unlock Pdf‘.

There are two kinds of passwords that you can remove from a PDF:
  • User (Open) Passwords – prevent the opening or viewing of a PDF without the password.
  • Owner (Permission) Passwords – controls who can print, edit, extract, or copy the content within a PDF. (But users can still view and open the PDF).
Why Remove a Password from a PDF?
There are several reasons, but the most common reason to remove a password from a PDF is because you no longer want or need one for it.

PDF is short form of Portable Document Format. For more on PDF format, read here.
