Team TimeSheet Manager UI in Outlook
The Team TimeSheet manager settings menu in the backstage view of the Outlook 2010. Here the administrator has access to all the project settings and new additions and changes are deployed to all members instantly.

In Outlook 2003/2007, the Team TimeSheet manager menu appears in the Outlook explorer window just after the help menu.

The database settings panel allows administrator to create a new project database, or link an existing database to the Team TimeSheet Manager tool in Outlook. Both MS Access and SQL Server databases are supported.

The team members list panel allows administrator to add, change or remove members who will work on projects and report to the database. New members can be imported from the Global Address list or local address book in Outlook.

The Projects list panel allows the administrator to add projects and their related data such as manager, hourly rate, project start and end date, project code and Outlook color code.

The Activity list panel allows the administrator to add project activities or tasks. You can assign a coordinator of the activity, due date and rate for each activity.

One of the four custom fields that takes a drop down list. In Outlook, custom fields that are enabled for data collection for reporting, would show up in ‘Custom Fields’ toolbar or ribbon in the Outlook explorer or inspector window.

The administrator has the provision to deploy, customize the titles, set mandatory fields etc of the project, activity and custom fields to suit their line of business and logic. The changes in the titles here are reflected to the Team Timesheet Client tool i.e., in the Outlook toolbars and ribbons.

In this panel, the administrator can control what particular subset of features and options are available to the team members. Each member can also be granted administrative rights to add new projects, activities and run summary and OLAP reports on the project database.

The template manager allows administrator to customize the email HTML templates used for automated and manual notifications to members, managers etc. There is a WYSIWYG editor to help in formatting the contents. You can embed a whole lot of placeholder variables to make an interactive notification.

Notification options allow the administrator to enable specific automated email notifications and alerts that get triggered on  different events of timesheet tracking and management.

With the reporting options, administrators can control and streamline how all members report project deliverables from the Outlook client to the project data repository.

The audit options allows administrator if to enable approval management module and what all audit features will be available. If auditing is not enabled, timesheets and other project deliverables are automatically approved upon submission. By default, auditing is disabled.

With Advanced Options, administrator can set how the expense cost and billing are calculated, and can also deploy timeline of project start, due or finish date to Outlook items used for recording time and deliverables for project management.

With this feature, when a new updated version of Team TimeSheet is available, administrator can perform upgrade of the Team TimeSheet Client tool on each member’s system automatically. If enabled, it checks for new version availability at Outlook startup.

Team TimeSheet tools for Administrators/Managers
With this auditing tool, supervisors and managers review submitted timesheets and other project deliverables and make amendment to project, activity or cost and can approve or decline the reported data.

Summary Reports tool allows administrator and managers to keep track of the development of the team on active projects – which project was being worked, who had reported etc. It can generate summarized reports on submitted data based on different time interval such as today, this week, this month, last month etc.

 

Reports can be saved as a web page or printed with the WYSIWYG editor for sharing and easy distribution. Statistical reports can also exported to Excel spreadsheet, text, XML etc.

The OLAP Grid view of the statistical tool is comprised of a multi-dimensional table with expandable nodes. These nodes group and display data according to the hierarchies used to define the measures and dimensions upon which the underlying data has been organized.

Supports export of data to Excel, PDF, JPG, GIF, HTM, XML, TXT etc.

The OLAP Chart view of the statistical tool allows representing submitted project data graphically. This gives administrator and managers a unique opportunity to analyze reported data visually, dealing with charts rather than numbers, which is much easier to perceive. Supports export of data to Excel, PDF, JPG, GIF, HTM, XML, TXT etc.

With the Search TimeSheets utility, administrators and managers can run queries on the submitted reports. Many filters are available such as search by keywords, member, project, and task or by date range. Reported data can be deleted or printed from this utility.
